Terms and conditions1. General1.1 This page defines the scope and terms of the work that will be carried out by NeuroEdit Ltd (a company incorporated in England and Wales and registered under number 10232582, whose registered office address is 15 Queen Square, Leeds, LS2 8AJ) (“NeuroEdit”) for the client (“you”).
1.2 All services listed herein will be carried out by the most suitable member of NeuroEdit's team, supervised by Dr Julia Slone-Murphy. All services can be tailored to your specific requirements. Any changes to the below will be agreed by both parties in writing (usually email) before each job. NeuroEdit encourages open and honest communication to ensure a smooth process and satisfactory outcome for both parties. 2. Confidentiality2.1 All data, text, images and discussion relating to any document sent to NeuroEdit will be treated in the strictest confidence.
3. What is included in each service3.1 For details of what is included in each of NeuroEdit’s editing, translation, figure preparation and publication support services, please read the descriptions for each service. In addition, all clients receive individual attention to make each document the best it can be; questions will be answered in a timely, professional and friendly manner, and comments or advice may be given where appropriate.
4. What is NOT included4.1 Checking of primer sequences, complex statistics, equations or calculations (but basic statistics, equations and calculations will be spot-checked). Search engine optimisation (SEO) or editing of web-targeted mark-up (e.g. HTML). Checking for factual errors including incorrect references (but this service is available upon request). Checking for plagiarism or copyright infringement. Rewriting or editing of plagiarised text.
4.2 Explanations for editorial changes. Standard manuscripts often require hundreds of changes, so in most cases no explanations will be provided for them because this would greatly increase the time spent on the work (and would therefore increase the cost to you). However, you are welcome to query individual changes, and answering these will usually be included as part of the service. If there are very many individual queries, NeuroEdit reserves the right to charge the standard hourly rate after agreeing this with you. All queries relating to a document must be made within 30 days of editing. 5. Procedure5.1 General
5.1.1 All of the work and communication involved to complete each project will be done on screen, online and by email. This is the most efficient way to accurately communicate the specifics of each job and the fastest way for you to receive your edited document. 5.1.2 Word documents are preferred, and will be edited using the Track Changes function. LaTeX files and PowerPoint presentations are also welcome but changes will not be tracked. PDFs and other file formats should be converted to Word before editing. For small sections in which changes cannot be tracked (e.g. text embedded in figures), comments will be added explaining any changes needed. 5.2 Quotation 5.2.1 For all services, you will receive a quotation based on the work required (see Fees). The complete text must be sent to NeuroEdit for an accurate quotation. Specifics of the job will be discussed and confirmed by email. 5.2.2 You are under no obligation to proceed with any work at this point. 5.3 Acceptance of Terms and Conditions 5.3.1 By confirming in writing (usually by email) that you wish NeuroEdit to proceed with any service, you will be accepting these Terms and Conditions subject to any modifications pre-agreed in writing. 5.3.2 New clients. To proceed with any service, new clients must pay a deposit of 25% of the quoted fee or provide a purchase order from their institution. 5.4 Work 5.4.1 Please note that even if editing or translation of part of a document is requested, the work will be faster and better if you send the whole document to NeuroEdit, including figures and supporting files. All text and data will be treated confidentially. 5.4.2 Once you have asked NeuroEdit to proceed with a job, you agree to make no further changes to the document until the requested work is completed and returned to you. 5.4.3 NeuroEdit will endeavour to return the completed work by the agreed date. Should unforeseen circumstances prevent NeuroEdit from meeting the agreed deadline, you will be informed as soon as possible. 5.4.4 With each tracked Word document, you may receive a PDF to ensure you can see the tracked changes correctly. 5.5 Client review and free proofread 5.5.1 Please review the edited document thoroughly. You can choose to accept or reject any changes made, and the final document remains your responsibility. 5.5.2 Once you have reviewed the document and made any additional minor adjustments (new words constituting ≤5% of original word count) and responded to any comments, NeuroEdit will proofread the final document for free. 5.6 Invoicing and payment 5.6.1 An invoice will be sent to you upon completion of the agreed work. Unless agreed otherwise at the outset, payment is due within 14 days of invoice. Late payments are subject to a fee of 10% of the invoice amount. 5.6.2 Payment in GBP is preferred and can be made via Transferwise (first transfer FREE here), credit/debit card, BACS, UK bank transfer, or PayPal. 5.7 Major changes or additional rounds of editing 5.7.1 If you decide to make any further revisions to the edited and proofread document, NeuroEdit will edit and proofread the revised document at 30% of the original fee. 5.8 Copyright notice for illustration services 5.8.1 Illustration services are provided by NeuroEdit's partner company, pfs. 5.8.2 You retain copyright in any basic material you create and provide to NeuroEdit. You also own the copyright in all illustrations produced for you by pfs, after full payment. If pfs creates or provides the basic material to produce the illustration, you may use the final illustration for the stipulated purpose, but pfs remains the copyright holder. If you would like to own the copyright in such illustrations, an additional payment of £50–100 will be required, depending on the time and costs incurred by pfs. 6. Fees and turnaround6.1 Fees are charged in £ (GBP). Standard fees are set out here. All fees will be agreed before proceeding. All word counts refer to the original document.
6.2 A discount of 10% will be applied to manuscripts longer than 10,000 words (Word or LaTeX only). 6.3 Every effort will be made to edit your document within the timescale you require, but please note that all bookings are subject to availability. Should NeuroEdit be unable to meet your deadline, you will be informed as soon as possible to enable you to find another editor. 6.4 Projects that require a particularly fast turnaround will require full payment upfront, and may be subject to a rush fee, to be agreed on a per-project basis. 7. liability7.1 Every effort will be made to produce the best possible document. However, perfection is not guaranteed and some minor errors may remain, particularly when a large number of changes have been made to the document.
7.2 NeuroEdit will not be held responsible for plagiarism, copyright infringement or factual errors. Checking for such issues is not part of the editing service. 7.3 All changes will be tracked, and you can choose to accept or reject any of the changes made. The final document remains your responsibility. 8. Plagiarism8.1 NeuroEdit is a proudly ethical company. Checking for plagiarism is not part of the editing service, but should it be noticed during editing that the manuscript contains intentional or accidental plagiarised sentences or sections, or cases of copyright infringement, these will not be edited, and a comment may be added alerting you to these instances, at NeuroEdit’s discretion.
9. Cancellation9.1 You are free to cancel at any time, but if work has already begun as agreed, you will be invoiced for the amount of work completed and any deposit paid will not be refunded. NeuroEdit reserves the right to cancel at any time; you will be informed as early as possible and will receive a refund of any deposit paid.
